Course Reserves Guidelines for Instructors

arrow Placing items on Reserve:

bullets  You are free to place library books and personal books on hard copy reserve; any photocopies of articles will automatically be placed on our online course reserves.  Your request will be expedited the most quickly if you fill out our online or paper forms, however, you may also submit a syllabi or email us with the requested information.

buttons  We will be happy to retrieve your requested books or online reserve materials if they are owned by the library; however this can delay processing time.  If you need to speed up the processing time it would be to your advantage to retrieve the material and bring it with your request.

button  When providing items for online reserves we ask for only one copy of the material.  Please make sure the pages are single-sided and clearly legible for scanning.  If you are requesting a reading that you know is available through the Library’s FindText, just provide us with the complete citation information when requesting, no need to provide us with the hard copy.  Any materials provided to be scanned for online reserves will not be kept as hard copy reserve.  After scanning, our staff will send these items back to you through campus mail.

button  We will accept any personal copies that you wish to place on reserve.  Please see our Personal Copy Guidelines. As part of our commitment to the National Interlibrary Loan Code of the American Library Association, we will not place on reserve books from other libraries.  Also, books that you have personally borrowed from other lending institutions will not be accepted for reserves.

button  We do not have a specific limited number of items that can be placed on reserve.

button  You may also add items to your reserve course at any time during the academic semester.

button  Choices include 1-hour, 2-hour, 2-hours and overnight, 1-day, 3-day and 7-day loans.

arrowProcessing time:

At the beginning of the academic semester we will ask for a TEN DAY lead time.  Our processing time will vary depending on our workflow. ASAP requests do not receive priority but are merged into our work flow as time and workload permit.  Some of the things that can slow down the processing of a request are:

  • Incomplete Course and/or Reserve information.
  • Books to be recalled; ordered; or retrieved.

arrowRecalling books:

Any library owned books that are checked out by another patron will be recalled by us.  Once the recall is made the patron will have two weeks to return the book, which can delay processing.

arrowOrdering books:

We will place orders for books that the library does not own which are needed for a course.  Orders are given a "rush" priority and we generally obtain them within 4-8 weeks, but it can take longer depending on the availability of the item.  Books that have to be ordered can also delay processing.

arrow Online Reserves:

Once our staff has created your online reserve page, an e-mail will be sent to you containing a link to your online course.  You may then send this link on to your students or add it to your Concourse page if one is set up.  For more information on Concourse, please click here.

arrowEnd of semester:

Unless we are notified other wise, all books will stay on reserve until the end of the academic semester.  Reserve staff will remove all items from Course Reserves and return them back to the general collection.  If you would prefer to pick up any personal items, please let us know, otherwise, all personal items that are left at the end of term will be sent back to you through campus mail.

arrowResubmitting forms:

If you know you will be teaching the same course again (either the following semester or year), you may simply print out a list of your current items through the Reserves Catalog and submit that to us for the oncoming semester.  This may also be done with your Online Reserves.

arrowCopyright Clearance:

The Course Reserve staff will take care of obtaining copyright clearance for all items submitted for electronic reserve.  For questions on copyright see: Copyright Guidelines.
