Inclement Weather Policy Definitions
| South Bend Snow Emergency: | The Mayor’s Office announces that all roads are,
or will be, closed to travel, except for emergency purposes. Those
found conducting travel, except for emergency purposes which includes
travel to and from a job, are subject to fines. (Please note that
all local police agencies have told us that people going to or coming
from work will NOT be ticketed. Per Sdietl call 10/01) |
| Snow Emergency Personnel | Students and staff, who have agreed to staff the Primary Service areas during snow emergencies. Supervisors should create and post a list of these individuals and their phone numbers. |
| Emergency Hours:* | Academic Year *Some additional changes may be necessary to accommodate key times of the semester, the day of the Xmas holiday, to respond to extreme road conditions, or the unavailability of Emergency Personnel. |
| Academic Year | Includes all time between the start of classes and the end of exams |
| Intersession | Includes all time between the end of exams and the first day of classes |
| University Closed | The University is closed by the decision of the Provost and/or Vice President for Business Operations. Human Resources and/or Public Relations will convey this news via voice mail to Department Heads on campus and by a variety of other methods including radio and TV. |
| Primary Services | The Hesburgh building; Hesburgh Reference, Circulation, Reserves, Audio, Current Periodicals/Microtexts and the branch libraries and information centers. |
| Individual schedule adjustments | Options for using vacation time, personal days, time without pay, or a schedule adjustment for that day or pay period. Done in consultation with supervisor (when possible.) |
Before November 1 –
*While hiring and training students, Supervisors for Primary Service Units should plan for Emergency Personnel. Supervisors should create and post the names and phone numbers of their Snow Personnel by November 1 of each year and should develop their own strategies for securing desk coverage.
Supervisors should ask staff who work before 7:00 am to listen for 6:30 announcements on snow closing even if they may arrive at work somewhat late.
During Snow Emergencies –
*During pre-work periods of the day –
Individual staff are responsible for listening to the radio or using the
dedicated phone lines or voice mail to determine if the University is
closed due to inclement weather. If the University is CLOSED, they should
not come to work unless they are designated as Snow Emergency Crew.
Supervisors for User Service Units are responsible for contacting their snow emergency crew and for ensuring that their units are covered as listed below and that any changes in hours are communicated to the Hesburgh Library Monitor Desk.
*During the mid-day blizzards and under special circumstances, the notification
of closing may come first via a call from HR.
In this case, the Administrative Office will use the phone tree to notify individuals who are currently working or who are scheduled
to work.
